4.11 Engaging a service provider
Purpose
This procedure outlines the process for engaging services for a child and family, as outlined in the case plan for a child.
Engaging a service provider
As far as possible, the use of other government agencies or funded community sector services, is recommended for provision of services to children subject to ongoing intervention.
To engage a service provider the CSO will:
- contact the service and provide or confirm a referral, providing relevant information;
- clarify the cost of the service and organise the method of payment following approval from the financial delegate;
- inform the child, the parents and the carer (if relevant) about the referral and provide information about how and when to access the service; and
- develop a communication plan between the service and the department.
When a service identified in the case plan is unable to accept a referral, the CSO will identify other possible services and discuss a possible referral with the child and the parents, before engaging the service. When there is no service that can meet the identified needs of the child or parents, the CSO should review the case plan.
Coordinating service providers
In some circumstances, multiple services may be working with the child and/or parents, to meet the needs outlined in the case plan. The CSO is responsible for coordinating these services, which involves:
- regular communication with all services;
- ensuring that regular communication occurs between the services and with the family or carer and child (when age appropriate);
- monitoring the services provided to ensure that they are targeted and meeting the needs of the child and/or parents; and
- regularly reviewing the case plan.
Timeframes for the provision of services will be identified and reviewed as part of the case planning process.
